Qualifications:
The Scheduling Coordinator must be adept at multitasking and putting the pieces of a puzzle together. Time management and logistics experience would be beneficial. Relationship management is another key qualification as this position interacts with several other business partners. Computer skills needed with the ability to become competent in house job management software. The ability to manage time wisely while unsupervised is an advantage.
Summary of Position:
The Scheduling Coordinator is responsible allocating the company’s deployable resources. The SC will schedule the arrival dates for technicians and subcontractors to arrive at job sites, while ensuring adequate communication with the Project Manager. The positon will also maintain records of completed work or deliveries to assist with Job Progress Invoicing (JPI) and service and warranty information. The scheduler may also be required to communicate expected shipping to affected project participants.
This is an on-site job and is not remote work eligible.
Duties & Responsibilities:- Provide Sales and PM positons with available dates for requested resources
- Update work orders and job software so that all parties are up to speed on dispatch details
- Seek verification from warehouse and purchasing managers regarding expected arrival of products
- Manage all communications of upcoming appointments to customers including delays and late arrivals.
- Obtain gate codes and site access requirements and communicate to deployed teams
- Prioritize resources in alignment company values ensuring customer’s needs are met
- Inform all parties of delays, cancellations and any scheduling restrictions
- Participate in departmental meetings as required
- Coordinate with PM during project completion to ensure accuracy of forecasted labor allocations and modify schedule as needed.
- Read daily notes, disseminate reported information appropriately, and coordinate required action items
- Schedule effectively regarding hours sold, drive time and expected technician efficiency
- Assist & direct PM & Administration regarding Job Progress Invoicing (JPI)
- Be able to deal with high profile clients and their personnel
- Provide training or communication to disseminate pertinent information as required
- Fiscal responsibility for all assets assigned and property within SM’s care
- Customer service, including the ability to work with high profile and high demand customers
- Guardianship and preservation of client confidentiality and network/home security
- Adherence to state and federal laws, including adherence to traffic laws
- Maintain multiple schedules and record
- Ability to organize large projects with several hundred pieces
- Communicate effectively in a high intensity and rapidly changing environment
- Flexibility to meet customer demands outside of normal working hours
- May require standing or stooping for extended periods
- Valid driver's license, clean driving record, and clear criminal record required
